Finding an unexpected charge on your credit card statement is worrying, especially when it comes from a cricket academy you trust. The charge may be higher than the fee you agreed, it may have been taken twice, or it may be for a service you did not receive. Most billing errors are honest mistakes, and most are fixed quickly once they are raised properly.
This guide explains how to raise a credit card dispute over a cricket academy billing error, in general terms, so you know what to do and what to expect.
First, check what actually happened
Before you raise anything, check the charge carefully. Look at your credit card statement and compare it with the fee you agreed. Is the amount different from the agreed fee, or is it a charge you did not expect at all? Has the same amount been taken twice? Is the payee name the academy, or does it look unfamiliar? Write down the date, the amount, and the payee name exactly as they appear on the statement.
Then check your own records. Look at the academy's receipt, the written fee breakdown, and any messages about the payment. The charge may be correct and the confusion may come from a different cause: an instalment falling due, a match fee you agreed to, or a term fee renewing on a date you had forgotten.
Gather your records
If the charge does look wrong, gather your records before you contact anyone. You will need the written agreement or fee breakdown that shows what was agreed, the academy's receipt for the payment, the statement entry showing the charge, and any messages or emails about the fee. If you paid in instalments, include the instalment schedule and a note of which instalments have already been paid.
Organise the records in date order, and make copies. If your records are digital, save them in one folder; if they are on paper, keep the originals safe and work from copies. Write a short summary of the problem in your own words: what was agreed, what was charged, and how the two differ.
Contact the academy first
The first step in resolving a billing error is to contact the academy. Most errors are simple mistakes — a wrong amount entered on a card machine, a duplicate payment processed in error, a fee taken a month early — and the academy can usually correct them quickly once they are pointed out.
Contact the academy in writing if you can, by email or message, so there is a record of what you said and when. Explain the problem clearly, include the date and amount of the charge, and attach or quote the relevant records. Ask for a correction and, if money is owed back to you, a refund. Keep a note of who you spoke to, when, and what was agreed, and give the academy a reasonable time to respond.
Raising a dispute with your card issuer
If the academy does not resolve the problem, or does not respond, you can raise a dispute with your card issuer. This is sometimes called a chargeback or a billing dispute. Each card issuer has its own process, which is usually explained on its website or in the terms that came with the card, and you can normally start the process by phone, through the issuer's app, or in writing.
When you raise the dispute, you will need to explain what happened and provide your records: the written agreement, the receipt, the statement entry, and a note of your contact with the academy, including dates and what was said. The issuer will want to see that you tried to resolve the problem with the academy first, so keep evidence of that contact. There is usually a time limit for raising a dispute, so do not delay once it is clear the academy will not resolve the problem.
What happens next, and preventing problems
Once you raise a dispute, the card issuer will usually investigate. It may contact the academy for its side of the story, and it may ask you for further information. Keep your records handy, respond promptly to any questions, and keep copies of everything you send. The investigation can take some weeks, so be patient, but keep a note of any dates or deadlines the issuer gives you.
In some cases, the issuer may reverse the charge temporarily while it investigates, and then make a final decision. If the dispute is decided in your favour, the charge will be reversed. If it is not, the charge will stand, and the issuer should explain why. Whatever the outcome, keep the issuer's decision with your records.
A billing error is also a reminder of habits that prevent problems. Always get the fee in writing before you pay, including the amount, what it covers, the schedule, and the refund policy. Check the amount on the card machine or the payment screen before you confirm a payment, and keep the receipt. Check your statement each month against the agreed fee, and raise any difference promptly. Most academy billing errors are fixed quickly when they are raised calmly, with clear records, and with the academy first.
