A martial arts academy quotation is more than a price list: it is the written record of what you are paying for, for how long, and under what conditions. Many beginners skim it, focus on the monthly figure, and sign without noticing the terms that matter later, such as grading charges, freeze rules, and cancellation notice. Reading the quotation carefully before you enrol takes only a few minutes and prevents most fee disputes.
Ask for the quotation in writing, whether printed or by email, and take it home before paying. A reputable academy will have no objection to you reviewing the document at leisure. If you are pressed to sign immediately, treat that pressure itself as useful information about how the academy handles its students.
Check the core details first
Start with the basics: the academy name, the branch or venue, the batch timings, the number of sessions per week, and the start and end dates of the package. Confirm that the batch timing matches what was discussed, and that the session count is stated explicitly rather than implied. A quotation that says "monthly package" without specifying sessions per week leaves room for misunderstanding if the schedule changes.
Next, verify the fee itself: the total amount, the payment schedule, and the payment methods accepted. Check whether the fee is quoted inclusive of applicable taxes, and whether any surcharge applies to card payments. If the quotation mentions a package price, confirm the period it covers and whether it auto-renews. An auto-renewing package that continues charging until you cancel in writing is a term you want to spot before the first renewal, not after it.
Look for charges beyond the headline fee
The headline fee is rarely the whole cost. Scan the quotation for registration or admission charges, uniform costs, grading or examination fees, equipment charges, and annual membership or affiliation fees. Each should be listed with its amount and when it falls due. If grading fees are described vaguely, such as "as applicable", ask for the current grading fee schedule in writing.
Also check for charges tied to events: seminars, workshops, camps, and competitions are often optional, but some academies treat certain events as expected attendance. Confirm which events are included in your package and which are extra, and whether attendance at any event is a precondition for grading. Clarity here avoids an awkward surprise when a "compulsory" camp appears mid-term.
Read the cancellation, freeze, and refund clauses
These clauses matter more than most beginners expect, because they govern what happens when life intervenes. Look for the notice period required for cancellation, whether fees are refundable in whole or part, and whether any portion is explicitly non-refundable. Note whether the refund is calculated from the date of written notice or from the end of the current billing period, since the difference can amount to a full month's fee.
Freeze provisions are equally important. Check whether you can pause the package for travel, illness, or exams, for how long, and whether a fee applies to freezing. Also check the make-up policy for missed classes: whether missed sessions can be attended in another batch, and within what window. If any of these terms are missing from the quotation, ask for them to be added in writing before you sign.
Verify promises and verbal assurances
Anything promised verbally — a discount, a free trial period, a guaranteed batch timing, a grading timeline — should appear in the quotation. If it does not, ask for it to be added. This is not distrust; it is good practice, and a professional academy will expect it. A promise that only exists in conversation is very hard to rely on later if staff change or memories differ.
Similarly, check that the instructor named in your discussions matches the quotation, if an instructor is named at all, and that any age-group or level restrictions are stated. For children's classes, confirm the age band, the adult supervision arrangements, and the academy's policy on parents observing sessions. These details protect both you and the academy by setting expectations clearly.
Before you sign
Read the quotation once through in full, then read it again with a pen, marking anything unclear. Ask about every marked item and keep a note of the answers. Confirm the total you will pay over the first six months, including all extras, and compare that figure with other academies you are considering.
