Mehendi, Sangeet and Decor Vendors: Tracking Multiple Vendor Payments

Published: 18 October 2026 Category: how-to-guides | cardbuzz

The sangeet and mehendi functions are where wedding vendor counts explode. A typical multi-day wedding engages 15–30 separate vendors — mehendi artists, sangeet choreographers, decor teams per function, sound and lighting, bartenders, valet, fireworks, photo booths, live performers — each with their own advance, balance and payment preference. Nobody sets out to lose track; everyone does, unless the tracking is designed before the first advance is paid.

The Vendor Stack and Its Price Points

VendorTypical rangeStandard advance
Mehendi artists (bridal + family)₹25,000 – ₹1,50,00025–50%
Sangeet choreographer₹40,000 – ₹2,00,00030–50%
Decor, per function₹1,50,000 – ₹15,00,00030–50%
Sound, light and LED wall₹75,000 – ₹4,00,00030–50%
Bartending team₹50,000 – ₹2,00,00030–40%
Fireworks/SFX₹50,000 – ₹3,00,00050%
Live performers (band/DJ)₹75,000 – ₹5,00,00050%

Two observations: decor is usually the largest of these lines and the most variable (a marigold-and-fabric mehendi versus a structural sangeet stage are different universes), and almost every vendor in this list asks 30–50% advance — meaning 30–50% of a ₹20–₹40 lakh vendor stack (₹6–₹20 lakh) leaves the family's account months before the event.

The Tracking System

One spreadsheet, set up before any payment, with these columns: vendor, function, contact, contracted total, advance paid (date, method, reference), balance due (date/milestone), deliverable checklist, and receipt status. The discipline that makes it work:

  1. No payment without a written quote. A WhatsApp message stating the total, inclusions and advance terms counts as written. A phone call does not.
  2. Reference every transfer. UPI and NEFT references go in the sheet the same day. Six months later, "₹50,000 to decor" is unidentifiable; "₹50,000 to Sharma Decor, advance tranche 1, UTR 4X8..." is not.
  3. Milestone the balances. Tie each balance to a checkable event: decor balance on setup completion the evening before, performer balance after the performance, photographer/videographer balance on delivery (per this batch's photography article).
  4. Reconcile weekly in the final month. Fifteen minutes every Sunday: advances paid vs contracted, balances upcoming, receipts collected. The family member who owns the sheet owns the wedding's finances.

The Advance-Risk Ladder

Not all advances carry equal risk. Rank vendors by advance risk and adjust terms accordingly:

  • Low risk: established decor companies, hotel-empanelled vendors, reputed artist agencies — standard advances fine.
  • Medium risk: independent choreographers, freelance makeup artists, regional performers — keep advances at 25–30%, balance on the day.
  • High risk: anyone demanding 70–100% advance, anyone without a verifiable business address or portfolio, anyone met only through an intermediary. Walk away or restructure: a vendor who needs 100% upfront to "block the date" is describing their cash-flow problem, not the family's.

Paying: Cards Where Possible, Trail Always

Decor companies and agencies increasingly accept cards; individual artists are usually UPI/transfer. The rule is not "always use the card" — it is "always leave a trail". A bank transfer with a referenced UTR is a better record than a card payment with no invoice. Where cards are accepted on ₹1–₹5 lakh decor and production bills, the rewards are meaningful — but the invoice matters more than the earn. And for the family's own protection: never pay any vendor's balance in cash on the wedding night "for a discount". The night-of cash payment is the single most dispute-prone transaction in the wedding industry.

The Judgement

Multi-vendor tracking is pure operations, and operations is where weddings are won. The spreadsheet, the written quotes, the referenced transfers, the milestone balances and the weekly reconciliation are unglamorous — and they are the difference between a wedding that ends with memories and one that ends with six months of chasing receipts. Set up the system before the first advance, and the sangeet can be enjoyed instead of audited.
