Infant and toddler programmes serve children from a few months to about three years, and their fees differ from preschool fees in structure: higher staff ratios, shorter hours options, and age-banded pricing. Parents choosing infant care face a complex fee landscape, and paying by card helps track it, but the fee structure itself needs understanding first. This guide explains age bands, fee components, and what to check before paying.
Age Bands and Why They Matter
Programmes usually divide children into age bands, such as infants, young toddlers, and older toddlers, each with different staff ratios, activities, and fees. Younger bands typically cost more because of higher staffing needs. Ask the age bands, the fee for each, and when a child moves to the next band: on a birthday, at term start, or at another point. A move to the next band may change the fee mid-year, so ask how and when fee changes take effect.
Full-Day, Half-Day and Flexible Hours
Infant care may be offered as full-day, half-day, or flexible hourly care. Ask the hours covered by each option, the fee for each, and the charge for hours beyond the chosen option. Flexible care suits parents with variable schedules, but hourly rates are usually higher than the full-day equivalent. Compare the monthly total under each option for your actual schedule, not just the headline rate.
What the Fee Includes
Ask what the fee covers: care, meals, diapers, activities, and materials, and what parents must supply. Diapers and formula are commonly excluded or included depending on the provider, and the difference affects the real monthly cost. Ask for the inclusions list in writing, and check whether meals change with age, for example from milk to solid food, and whether the fee changes with it.
Staff Ratios and Quality Indicators
Ask the staff-to-child ratio for your child's age band, the qualifications of caregivers, and the daily routine. Ask how the provider communicates with parents: daily reports, photos, or a parent app. Quality indicators matter more than small fee differences for infant care, because the child's comfort and safety depend on attentive care. Visit during operating hours to observe the environment before committing.
Fee Changes as the Child Grows
As a child moves between age bands, the fee may rise or fall. Ask whether band changes trigger immediate fee changes or wait until the next term. Ask whether the provider gives notice before fee changes, and how much. A provider that changes fees without notice creates budgeting problems; one that announces changes a term ahead is easier to plan around.
Paying by Card and Tracking Fees
Pay by card, monthly or per term as the provider requires, and keep each invoice with its payment record. Track the age-band fee applicable each month, so a band-change fee adjustment is visible and expected, not a surprise. If a bill includes charges for extra hours or supplies, check them against your records before paying. Keep the enrolment agreement with its fee structure for the duration of enrolment.
Trial Periods and Withdrawal
Ask whether a trial period exists, and what the withdrawal terms are during and after it. Infant care is a sensitive decision, and a trial period lets both the child and parents adjust. Ask the notice period for withdrawal, the refund rule for prepaid fees, and whether the deposit is returned. A provider confident in its care usually offers reasonable trial and withdrawal terms.
Before You Enrol
Confirm the age bands, fee per band, hours options, inclusions, staff ratios, fee-change notice, trial terms, and withdrawal rules. Pay by card, keep the agreement and invoices, and review the fee each time your child changes bands. Infant care is a significant commitment; clear fees let you focus on the child's wellbeing.
