Play school transport is a separate service with its own fee, route, and safety arrangements, and it is often billed apart from tuition. Parents usually focus on the route and timing, but the payment terms and safety records matter just as much. Paying by card for transport creates a clear record, and the transport agreement defines what that payment covers. This guide explains what to verify before paying transport fees.
How Transport Fees Are Structured
Transport fees are usually charged termly or annually, based on distance slabs or fixed route rates. Ask the fee basis: distance-based, zone-based, or flat per route. Ask whether the fee is charged for the full term regardless of attendance, and whether it is refundable on withdrawal. Ask whether the fee includes both pickup and drop, or one direction only. A fee that covers only one direction while you need both doubles the real cost.
Routes, Timings and Changes
Ask for the route details: pickup point, pickup time window, drop point, and expected arrival times. Ask how route changes are communicated, and what happens if your pickup point changes mid-term. Ask whether the transport service operates on all school days, including half days and event days. Route reliability matters more than a small fee difference; a consistently late bus disrupts the whole family's schedule.
Safety Arrangements to Confirm
Ask about the safety measures: a trained attendant on the bus, seat belts or child restraints as applicable, a verified driver, GPS tracking or parent notifications, and the handover protocol at pickup and drop. Ask who is authorised to receive the child at drop, and how changes to the authorised person are recorded. Safety arrangements should be in writing, not just promised verbally, and you should be able to verify them, for example through a tracking app or regular communication.
One-Way, Two-Way and Sibling Transport
If only one direction is needed, ask whether a one-way rate exists and how it compares with the two-way rate. If siblings share transport, ask whether a sibling discount applies to the transport fee as well as tuition. If transport is shared with another family, clarify billing: whether each family is billed separately or one family pays and is reimbursed. Separate billing is cleaner for records.
Paying by Card and Keeping Transport Records
Pay transport fees by card, separately from tuition where possible, so the transport payment is individually traceable. Keep the transport agreement, route details, fee receipts, and safety communications together. If transport is withdrawn mid-term, the separate payment record and agreement support any refund claim. If a transport incident occurs, the agreement and communications form the relevant record.
Withdrawal, Suspension and Refunds
Ask the transport withdrawal terms: notice period, refund calculation, and whether suspension for a period, such as a family trip, pauses billing. Some providers allow transport suspension with advance notice; others charge for the full term regardless. If your child will be absent for an extended period, a suspension option saves money. Get the withdrawal and suspension rules in writing before the term starts.
Before You Pay Transport Fees
Confirm the fee basis, route and timings, safety arrangements, handover protocol, withdrawal and suspension terms, and billing separation from tuition. Pay by card, keep the transport agreement and receipts, and verify the service in the first weeks. Safe, reliable transport is worth its fee; unclear transport terms are not.
